This policy explains how we collect, use, and protect personal data when your organization uses NeoWork.

1. Introduction This policy explains what information Emergences Labs collects when your organization uses NeoWork — including the NeoWork platform and any related services (collectively, "NeoWork") — how we use it, and the rights you have over it. NeoWork is a business service licensed by enterprises to support workforce decisions. Where NeoWork processes personal data on behalf of an enterprise customer (for example, employee or candidate assessment data), the customer is the data controller and Emergences Labs acts as the data processor under the customer's data processing agreement.
2. Information We Collect
Account information — name, work email, role, and any profile details provided by your organization or by you.
Workforce data — role definitions, assessment templates, evaluation results, performance benchmarks, and other workforce inputs uploaded or generated within NeoWork.
Platform usage — pages visited, features used, device and browser type, and approximate location (from IP).
Communications — emails or messages you send us.
Cookies — small files stored in your browser, used for authentication and analytics (see Section 8).
3. How We Use Your Data
To provide and improve NeoWork, including role redesign, assessment creation, and workforce reporting.
To deliver assessment results to the enterprise customer who commissioned the assessment, as authorized in that engagement.
To maintain platform integrity, prevent fraud, and respond to support requests.
To send service-related notices and, with your consent, occasional product updates.
With the customer's separate, explicit consent, to include anonymized assessment artifacts in research, model training, or public benchmarks. Personally identifying material is never included without consent.
4. Roles and Responsibilities For workforce data processed within NeoWork on behalf of an enterprise customer, the customer is the data controller and Emergences Labs acts as the data processor under the customer's Data Processing Agreement. For account-level information and platform telemetry, Emergences Labs is the data controller. Data subjects (typically employees or candidates of the customer) should direct access, correction, and deletion requests to their organization in the first instance.
5. Third-Party Services We use third-party providers to operate NeoWork (cloud infrastructure, analytics, error monitoring, authentication, large-language-model inference, and similar). These providers process data on our behalf under their own privacy commitments and contractual obligations. We do not sell personal data.
6. Data Retention
Account data is retained while the customer's subscription is active and for a reasonable period afterward to satisfy legal and contractual obligations.
Workforce and assessment data are retained for the duration of the customer's engagement, plus any retention period specified in the customer's Data Processing Agreement, after which the data is deleted on schedule.
Customers can request earlier deletion under their DPA; some backups may persist briefly before being overwritten.
7. Your Rights Subject to applicable law and your relationship to the customer organization, you may:
Access or export the data we hold about you.
Request correction of inaccurate information.
Request deletion of your account and associated data, subject to limited exceptions (for example, an active assessment commissioned by an employer).
Withdraw consent for optional uses, such as research inclusion, at any time.
Opt out of marketing communications.
Where data was provided by an employer or prospective employer, requests may need to be routed through that organization. To exercise any of these rights, email contact@emergences.ai.
8. Cookies We use first-party cookies for authentication and analytics. You can disable or restrict cookies in your browser settings; some features may not work correctly if you do.
9. Children NeoWork is not directed to children under 16, and we do not knowingly collect data from anyone under that age.
10. International Transfers Emergences Labs is based in the United States. By using NeoWork, you understand that personal data may be transferred to and processed in the United States or other countries where we or our service providers operate. For enterprise customers in jurisdictions requiring specific safeguards (such as the EEA, UK, or Switzerland), data transfers are governed by the customer's Data Processing Agreement.
11. Changes to This Policy We may update this policy from time to time. The current version is always available at /legal/privacy-policy. For material changes we will provide reasonable notice.
